We are excited to recruit an Executive Estate Management position to join our dynamic team!
The role provides administrative support for the University’s estate initiatives, including facilities projects, sustainability, and work health and safety. By providing the required support, he or she ensures that initiatives, projects, and estate operations meet University and regulatory requirements.
Requirements
Sustainability Initiatives
Assist managers in monitoring and tracking the consumption of utilities to ensure targets are met.
Assist managers in identifying any unusual usage trends and proposing measures to manage usage.
Prepare reports for management, certification or audits.
Carry out events, campaigns and education initiatives to promote sustainable practices to the university community.
Ensure certificates, documentation, reports and approvals are complete, up-to-date and properly filed.
Conduct market research on sustainability initiatives such as Green Mark, new eco-friendly products or waste-reduction vendors.
Support managers in carrying out site surveys to ensure that sustainability protocols (e.g. recycling and energy) are followed. Track and ensure that corrective actions are carried out
Projects & Administration Support
May be assigned to projects as a project officer.
Assist the project manager to maintain and update all policies, drawings, specs, and reports, ensuring they are properly versioned, filed and archived.
Attend various project progress meetings with the project manager and capture pending tasks for subsequent follow-up
Track project action items and ensure that they are completed in time.
Track risk mitigation plans to ensure they are executed by the risk owners in time.
Track project change requests and budget utilisation.
Liaise with vendors to ensure deliverables are complete before submitting to managers for acceptance.
Assist managers in project planning activities, such as sourcing and budget estimation.
Carry out market research to support pre-project planning.
Assist managers in scheduling meetings, planning meeting agendas, compiling meeting materials, producing meeting minutes and tracking matters arising.
Respond to front-line enquiries through phone, email, and face-to-face channels, addressing requests promptly and escalating complex matters when necessary.
Other administrative duties as assigned that's relevant to the role.
Requirement
Degree in Project and Facilities Management, Infrastructure and Project Management, Environmental and Sustainability Engineering, Environmental Studies, or equivalent.
Candidates with a degree in Business Administration or related disciplines may apply, if they have demonstrated experience in project management, sustainability or estate management.
Prior training or certification in project management will be an added advantage.
Certification as a Green Mark Accredited Professional and Fire Safety Manager will be an added advantage.
At least 2-3 years of relevant experience in facilities management, project management and/or sustainability management.
Fresh graduates with relevant internship experience are welcome to apply.
High level of initiative, pro-activeness and independence.
Excellent fact-finding, problem-solving, and analytical skills.
Ability to multi-task and deliver results in a dynamic environment
Excellent presentation skills
